There are exciting changes in the Wellworks program.  We hope that you have heard about them and are ready to learn more.  We are especially eager for you to begin using Communiqué and Marketplace.  

Below you will find an outline of new features and an explanation of improvements to existing features.  Many of the improvements will affect your day to day usage of Wellworks. It is strongly recommended that you watch the training videos referenced below to prevent confusion about your new Wellworks environment and processes.

Manager

 ·        Making Purchases

o        Previously retail purchases and service purchases were handled with two separate procedures.  We now have the Sales Form which integrates the two types of purchases into one form. 

§         Important—please note that a double click is required to add something to the Sales Form for purchase, not a single click.

§         It is strongly recommended that to become familiar with new features in the Sales Form you view our Training Video: Making Purchases.

·        Scheduling

o        Scheduling is no longer separated into Permanent vs. Dated. 

o        Staff Members’ schedules have been moved from the staff files to System/Schedules so that you may have a schedule based upon dates instead of day of the week. 

§         The way that schedules are set up and modified for both classes and staff has been modified significantly. 

§         It is very strongly recommended that you watch our Training Videos: Scheduling Classes and Scheduling Staff. 

·        Staff files

o        Staff members can no longer be deleted, they must be made inactive.

o       If you use payroll, when you add a new staff member you must insert a date in Pay Rates – “Last Paid” which should be the date after which you’d like Wellworks to begin calculating payroll. 

·        Schedule Book

o        Slight changes include:

§         when a client is deleted her name stays in the Schedule Book with an X preceding;

§         duos show up with one name above the other;

§         trios (or quads, etc.) show up with two of the names, you can click either to see all names in the group private;

§         there is a drop-down calendar at the top of the screen allowing easy navigation.

·         Client Selection

o        Client Selection allows you to choose a sub-group of clients for whom you can prepare Communiqués, print out labels or call sheets, or export information to Excel. 

o        The new and improved Client Selection allows you to use “and”, “or” modifiers to develop a more complex group than was possible previously. 

o        It is strongly recommended that you watch Training Video: Client Selection. 

·        New Report

o        In the Daily Attendance and Payment Reconciliation Report (found at Today/Current Day or in the Reports/Attendance/Daily Recap) a new column was added “Earned Income”. 

§         Earned Income is drawn from the cost per session established in payment options.  It’s designed to be an extra little bit of information so you can see what actual value of services your business provided in a day. 

§         At the bottom of the report “Expired Service Income” appears when there are packages expiring on that day with sessions that were never used. 

·         Menu and screen view changes

o        Schedule Book is a permanent item on the sidebar menu. 

o        Direct access to “Sign-in form” can be found at Today/Sign-in Client.

o        On the Today screen a calendar has been added for easier navigation.

o        On the Clients screen clients’ emails are now displayed and an email can be composed by double-clicking the hyper-linked email address.   

Communiqué Plus  

·        We have replaced our old email did with one of the most exciting additions to Wellworks.  Communiqué Plus:

o       allows you to send out attractive html formatted bulletins or newsletters with your branding;

o        has a Library of Content which gives you access to leading industry articles to allow you to quickly build newsletters containing the information your clients desire (plus it saves you lots of time in writing—you could create and deploy a newsletter in under ten minutes!);

o        contains stock templates such as “happy birthday” and “we miss you” which can be modified and saved;

o        allows you to save as many templates of your own as you’d like.  Write up a new member email and store it in Wellworks to send out every time you have a new client!

·       It is strongly recommended that you watch our Training Videos: Creating a Communiqué, Adding Formatted Content and Uploading Images and Graphics

Marketplace 

·         Marketplace is your online store.  With Marketplace:

o        receive a 10% commission on everything you sell;

o        promote your ecommerce marketplace through your Communiqués and your web site;

o        no need for you to stock any inventory;

o        no need for you to deal with shipping to your clients or returns. We do that for you;

o        provide your clients a wonderful selection of fashion forward, natural and organic products from vendors including; agoy, Beckons, Benedetta, Fitlee, GratefulBody, Inner Waves Organics, Ion Actif, Jade Yoga, Pure Bamboo, Sounds True, SPRI, SUCA, Yoga Tribe & Culture, and Zensah

o        you have a new revenue stream for your business!

·        You can find the link to your Marketplace by sending yourself a test Communiqué.

·          It is strongly recommended that you watch our Training Video: Marketplace: An Overview.
